Instruction of Oral Presentations

■For Chairs:
  • Please take the next chairperson's seat in the room at least 20 minutes before the beginning of your session.
  • Chairpersons are asked to remain within the time allotted for the session and each presentation.
■For Oral Presenters:
  • Please visit the PC preview center in in Room H on the ground floor of Kyoto International Conference Center no later than one hour prior to your presentation in order to preview and submit your presentation
■For “Scientific Session” Speakers:
  • Please keep the presentation within the time limit, which has already announced in order to preview and submit your presentation data. 
■For “Oral Presentation Session” Speakers:
  • Oral Presentations are to be made within 10 minutes including 3 minutes for questions and answers.
■For Speakers:
  • Oral Presentations can only be made with Windows and Macintosh PCs (Single screen only).
  • Slide projectors are not available.
  • OS and applications are as follows.
    OS: Windows 7
    Applications: PowerPoint 2007, 2010 or 2013.
  • Please visit the PC preview center in front of Crystal Ballroom (Main Venue) no later than 1 hour prior to your presentation in order to preview and submit your presentation
  • Oral Presentations are to be made within 10 minutes including 3 minutes for questions and answers.
■File Management:
  • Presentation files must be in Windows PowerPoint 2007, 2010 or 2013.
  • To avoid display problems with your presentation, use only standard OS fonts such as Times New Roman, Arial, Arial Black, Arial Narrow, Century, Century Gothic, Courier, Courier New or Georgia.
  • The projection screen for your session has XGA resolution (1024 × 768 pixels).
  • The title of your presentation file should be “your presentation code + your name.ppt”.
    (ex: plenary 01+john smith.ppt).
  • The size is not limited for your presentation file. However we recommend to bring your own PC, if the size of your presentation file exceeds 800MB.
  • You can use audio or video in your presentation. If you use video in your presentation, we recommend to bring your own PC. We also recommend any video data to be in AVI or MPEG format which can be played with Windows Media Player 10 and Quick Time 7.
  • All data files should be in one folder, including any reference files such as video images.
■For presenters using own PC:
  • Please make sure to bring your own AC adaptor, auxiliary output adaptor (D-sub 15 pin) and connector.
  • Please cancel your screensaver and power saving setting in advance.
  • Please have a backup data saved in another media in order to avoid your data corruption.

For Poster Presenters

■For Chairs and Presenters:
  • Please check-in at the Poster Session Desk 20 minutes before the beginning of your session.
  • Poster Schedule is as follows;

  • Poster number and pins are available at the poster board.
  • Presentation time for each speaker is 7 minutes in total (5 minutes presentation followed by 2 minutes discussion). Poster presenters should keep the time to ensure smooth proceedings, according to chairs moderation.
  • Poster should be dismantled during the time indicated above. Any posters remaining after the removal time will be discarded by the secretariat.

Preparation for Poster Presenters

  • posterSize of the poster board is 90 cm width × 210cm height.
  • Size of usable area is 90 cm width × 190cm height.
  • Posters should be readable be viewers one meter away.
  • The poster title, author(s)’s name(s), and affiliation(s) should appear at the top.
  • Only English language may be used.
  • Each poster should be placed on the numbered board assigned to each presenter.
  • Posters should be brought to the congress and not mailed, as the Organizing Committee cannot be responsible for loss or mishandling.
  • Presenters are responsible for posting and removing their own materials.
